How to Take Notes in the CRM

Notes capture the context that doesn't fit in a field — call summaries, objections, buying signals, internal commentary — and are visible to your whole team.

Create a note

  1. Open CRM → Notes and click Add Note.

  2. Write your note in the editor and set a Status (both are required).

  3. Optionally set a Note Type, Category, Priority, or Reminder.

  4. Optionally link the note to a Company, Contacts, Deals, Meetings, Tasks, Tickets, or Orders.

You can also add notes from a lead's profile — through the Note quick action or the profile's Notes tab — and from the dashboard.

Organize your notes

  • Use the board view to group notes by status; drag between columns to reclassify.

  • Switch to the table view for a sortable list.

  • Default statuses are Note, Follow Up, and Important. Customize them to match your workflow — for example Call Summary, Objection, or Pricing.

Tips

  • Write a note immediately after every call while details are fresh.

  • Notes linked to a lead appear on that lead's profile, so anyone picking up the conversation has the full story.
